HRMS Role Permissions: Owner, HR, Finance, Manager, Employee and Auditor cover

A useful HRMS permission model separates what each role can see, create, edit, approve, reject, download, export, configure, and audit. Frontend hiding is not enough; secure workflows must enforce the same rules.

Owner and HR

Owners manage organization modules, settings, roles, billing, reports, and enabled workflows. HR manages employee records, onboarding, lifecycle, documents, policies, leave, attendance, and HR reports within scope.

Finance and payroll

Finance handles reimbursements, settlements, invoices, payment status, and reports. Payroll admins manage salary structures, payroll runs, payslips, statutory records, tax declarations, bank exports, and payroll locks where permitted.

Managers and team leads

Managers should see direct team data and approve configured requests. Team leads may see tasks and summaries but should not receive final HR or payroll authority unless explicitly granted.

Employees and clients

Employees see own data only. Clients see assigned projects, files, invoices, and approvals only. Neither should enter internal HR, payroll, staff, or platform admin areas.

Auditors and security admins

Auditors are normally read-only. Security admins manage access rules, sessions, audit logs, and security settings but should not automatically see salary or payroll values.

Practical rollout checklist

  • Use deny-by-default permissions.
  • Separate data scope from action permission.
  • Check sensitive fields separately.
  • Audit downloads, exports, role changes, and approval decisions.
  • Block deep links on the server, not only in the sidebar.

FAQ

What is data scope in HRMS?

Data scope defines whether a user can access own, direct team, department, branch, company, all organization, client, project, or platform data.

Should salary access be separate?

Yes. Salary view and salary edit should be separate sensitive permissions.

Can auditors edit data?

Auditors should be read-only unless a specific workflow grants another action.
